Who Is In Command
A business is as successful as their CEO, COO and the CFO. Besides the president of a corporate company and the board who manages them, the pieces of the whole make it work.
Obviously, chiropractic as a small business, unless it is a corporate entity, we normally don't have a managing board, a CEO or president, it is all rolled into one .. YOU! But remember, a ship with a captain not in command will flounder in tough seas, and in our business rough seas is patient volume, profitability, patient compliance, insurance/attorney relations and staff management. So, who is command .. Let's Look:
CEO: In the corporate world the face of a company usually is the Chief Executive Officer. These individuals oversee the operation and the steps and goals with structured parameters towards forward growth. Their vision is expressed to the board and their head is on the line if they are not met
COO: This individual oversees the daily operation and implementation. As mentioned in previous e-newsletters, accountability is most important. Great to have great ideas but more important is to be assured that someone is responsible for the task as well as plotting implementation. Staff meetings regularly scheduled has staff members discuss their tasks as well as any stops along the way and how best to overcome and goals and action steps for success. The COO plots the journey, clears out debris and helps that all gears are up to speed
CFO: What does a CFO do? A business without a budget, a huge overhead and emotional purchasing will flounder under the weight of incompetence. A consulting firm hired to analyze the business will review the books, accumulate quarterly data and provide an overview with recommendations. Often the overhead finds staff used improperly, too much stuff and over spending. Sound familiar?
President: This, I guess is the closest position we are in. Theoretically, we are overseeing the entire operation but in reality often the "inmates run the asylum," and we are at the mercy of the moment day by day rather than being in control. To run a smooth, profitable and smooth operation even the president has an overseer and that's the board who often have the final word
Board: As mentioned earlier, unless you are a doctor associated with a larger corporate business model, a board would not apply but the concept is sound. Who oversees the president and the chiefs, it'll be the board. They are accountable to the shareholders, in other words, accountability keeps everyone in check.
Accountability and Responsibility: Every component within your office has responsibilities and need be accountable to the practice organizational board. Make it less complex and easy to follow so the flow will go well. Take a moment to determine where your office fits in whether with a cadre of staff or just one CA. Timely staff meetings will manage ebbs and flows as well stopping any issues prior to a crisis. Let's look at some.
Patient Responsibility: Our patients, once educated, will comply to their treatment schedule, tell others about chiropractic care, network with your office for community/corporate workshops and screenings as well as paying on time and after following their care schedule continue to maintain it. They will be responsible only if they know why .. education is crucial
Staff Responsibility: Whether you have one or ten staff members the responsibilities are the same and that is help you reach your goals. Multitasking as well as dedicated work ethics are a blessing but clashing personalities always place a creak in the hinge. Keep your staff motivated with timely meetings that are in reality solution meetings, be sure they know your goals and their action steps. They should alert the office of wayward patients ready to slip and slide as well as asking for assistance to get them back on track and move on some networking ideas. Staff should have a clear understanding of chiropractic, your approach, why you use specific adjusting techniques as well as therapies and adjunctive items such as durable products, nutrition, rehabilitation, orthotics, cold laser or whatever you use. They should have an incentive to educate patients to refer or provide networking programs with a cash bonus for their referrals etc. Want your practice to grow, help them grow
Doctor Responsibility: As I have always mentioned, we must look in the mirror to see the reason why. We are the CEO, we oversee the operation and should have staff members accountable for their work. We are the COO, we oversee the daily statistics, create an organizational chart for responsible chain of command. We are the CFO, we decide the expenses. If heavily in debt, why? If you purchase equipment you hardly use, why? If you have too many staff members tripping on each others toes, why? If your personal lifestyle doesn't justify the money you bring in, why?
We also are the chairman or chairwoman of the board, even with one staff member. If you have timely staff meetings, even a quick lunch, you should get a read of the office and those you depend on. When needed decisions are made to change operation and at times it requires firing the president or other chiefs. No one can fire you; the health, wellness and profitability of your office depend on you. So, if you are satisfied with the status quo, congratulations do nothing other than keep it up. If you are not, what are you going to do?
You have the power and energy to make it happen. There are many chiropractic consulting firms that can guide you. Attending a Parker or similar seminar to feel the energy of collective chiropractic as well as listen, learn and ask, may be an eye opening experience. You can also check your national, state and local chiropractic associations as well as your alumni groups for guidance to start a renewed journey toward the practice life you seek.
Final Thought: You are in command. Just imagine a well known chiropractor with years of experience and success visiting your office for a week to straighten things out. Working with your budget and staff, do you think no level of tweaking will make a change? Do you think they would infuse energy where there was known, educate staff and patients where there was little, cut down unnecessary expenses and place what money is available for sound and true profitable marketing and public relation projects?
You bet they would so, take a moment, an out of body experience hovering over your office and without excuses, what changes can you make?
