Just an alert for every doctor using credit card machines, which I expect is everyone. Last week we were going over the rate we were paying for each credit card transaction. I thought our rate was a low as possible but to my surprise even though the percentage per transaction was low our office was non-compliant with Personal Credit Security or PCI rules. The ridiculous message was we never looked at our credit card service statement or even knew of such rules and the $50 per quarter we were paying since 2014 for being non-compliant was ridiculous. I don’t think I am alone your office may be non-compliant as well. When was the last time you looked at your statement or even called your office credit card machine carrier and asked if you are PCI compliant and if there is a fee for not being so. Happens my son works in this field and is a PCI expert and when he reviewed our statement he called the company and spent a few days correcting this issue. Not sure what he did or what you need to do but your first step is to either review your statement or call the company and determine if you are compliant and if you have been charged a fee if not.

 

What about your patients who decide to begin their journey as your chiropractic patient but after a few or many visits stop their care or not pay for your services. These non-compliant patients also create an issue that goes beyond lost income, they lose their journey towards wellness or be part of your journey towards their health and their potential referrals and networking. As a healthcare provider and coach, it is imperative that your entire office team work in tandem to assure that every patient is accounted for, provided a service beyond ordinary and look for signs that would create a non-complaint patient. Every patient has a story to tell and why they have dropped out of care and did not follow your recommendations. Like my credit card issue with years since I looked at a statement finding my neglect has been costly. As far as my practice, this has been a wakeup call to be more attuned to patient compliance and not be complacent in this quest. I recommend you have a staff meeting, review your new patients for the past month or quarter and see how many dropped out of care, how many have slipped through the cracks and how to handle this. Determine if patient communications is up to date with timely office e-newsletters or office handouts so your presence is present. Also, do you have an active recall system to bring these lost souls back or a quick response team to determine why a patient has not returned for care and act speedily as often the issue is with us. To meet their needs or handle their concern we must be vigilant and attentive.

 

Hopefully you are and your office is compliant but I imagine many are not.
